One shop, about twenty hours a week.

Every inquiry, however it arrived, landed on the owner. This is what we built instead, what we handed over when it was done, and the one number the owner reports.

The shop

The work fills the day. The writing does not stop.

Arizona Auto Wraps is a vehicle-wrap shop in Scottsdale, Arizona. Between jobs there are inquiries to read, replies to write and paperwork to keep moving. Somebody has to do it, and that somebody was the owner.

The mess

Everything landed on one person

Inquiries arrived three ways, and every one of them ended up in front of the owner. Answering meant stopping something else. Not answering meant risking the work.

What we built

One system, with a person in charge

One system now takes the inquiries in, whichever way they arrive, and does the first pass of the writing. What it never does is act alone.

  1. It takes them in

    Inquiries from the inbox, the website form and the shop's paperwork land in one place, in one queue.

  2. It drafts the replies

    Every reply starts as a draft the system writes. Nobody starts from a blank page.

  3. It asks a person first

    Nothing goes out on its own. A person reads each draft and approves it, or changes it, before it is sent.

  4. It declines rather than guesses

    When it is not sure, it does not invent an answer. It hands the inquiry to a person instead.

A system you cannot run without us is a lease, not a purchase. Every engagement of ours ends the same way:

  • The code, the accounts and the documentation are handed over.
  • The people who will run it are shown how, day to day.
  • Support afterwards is a choice, never a requirement. The system runs without us.

The result

About twenty hours a week back

That is the owner's estimate of the time the system returns each week — time that used to go to reading, drafting and chasing inquiries. We did not measure it, and we will not dress it up: the owner reports it, and we pass it on as reported.
